BUSINESSMAIL adds several benefits to standard Microsoft Outlook and combines the personal and the business related email. The benefits related to BUSINESSMAIL improve an organization´s ability to communicate, share knowledge and collaborate around the email communication in a department/business unit.

Group based communication

BUSINESSMAIL combines the personal Microsoft Outlook mailbox and the function based mailbox. The idea is that all business related email communication takes place from BUSINESSMAIL and the function based mailboxes, enabling an entire department or team to share the information in emails and collaborate around the email communication so that "no one works alone".
 

NO EMAILS GETS LOST

BUSINESSMAIL ensures that no business related emails are saved in personal Microsoft Outlook mailboxes. All emails are saved centrally and can easily be found by the employees. This comply with the demand that no emails must be deleted and there has to be complete tracking of the email communication­.

Automatic delegation of emails

By using BUSINESSMAIL keywords all incoming emails are automatically delegated to the responsible employees. On the basis on e.g. sender, subject, BUSINESSMAIL mailbox, or content, BUSINESSMAIL can automatically assign keywords which form the basis of which employee the email is relevant for. Therefore, the employees only have to concentrate on emails that are relevant for them.
 

Quick search for emails

The unique search functionality in BUSINESSMAIL makes it possible to perform searches for emails extremely fast. The searches are done up against a SQL database and it is possible to find entire email threads and individual emails. Searches can be performed across mailboxes and on the basis of e.g. reference number, date intervals, sender, subject and email content. A search only takes a few seconds which means that an employee can perform a search while talking with a client on the phone.

BUSINESSMAIL attaches reference numbers and backward Reference numbers (BRef) to all individual emails. BRef numbers enable the users to find the connection between emails and to flip through the history in all "related" emails.
 

Look in several mailboxes

The individual user can define own views based on keywords and mailboxes. This means that the user will only view emails with selected keywords and from selected mailboxes. This takes place across all the BUSINESSMAIL mailboxes so that the user can see emails from several mailboxes at the same time. The individual user therefore only needs to set up one view to see relevant emails from several mailboxes.

Only show the relevant emails

Keywords decide which users the email is relevant for. The individual user can therefore choose only to view those emails from the BUSINESSMAIL mailboxes with keywords that are relevant (e.g. the users initials, a specific client, or sender). This provides the user with a greater overview of incoming emails and they only have to read relevant emails.
