MEETING ROOM BOOKING

Easy meeting room scheduling through Microsoft Outlook. Plan your meeting and book the correct room on the basis of size, facilities, location, and meeting time. Makes it easy to find and book available meeting rooms with the correct facilities. Interactive floor plans and meeting room descriptions can be added to enhance user friendliness.
 

CATERING AND SERVICE BOOKING

Easy booking of catering, table arrangements, office supplies and other related services for meetings and events.
When administrators set up the menus and item lists they can add descriptions, prices, different currencies, item categories and delivery rules for each item. It is easy for the organizer to book the services and add comments to the service units. The service unit can accept or decline orders, and take out reports on for instance orders, consumption of goods, etc.

RESOURCE BOOKING

Manage and book resources such as cars, bicycles, laptops, and audio visual equipment. Descriptions for each resource improve the user friendliness, and it is easy to book several resources in one working process. Employees can search and book resources in different categories and it easy to see where the resource is placed physically. Rental prices can also be added to the resources.
 

CAR PARK BOOKING

HOT DESK BOOKING

Desk sharing with CONCIERGE SERVICES optimizes the desk usage and reduces the need for office space. It makes it easy for the more mobile employees such as sales staff and project employees to book a desk when and where they need it. The employees can easily book the right desk with the necessary facilities, for instance silent zone, telephone or height adjustable desk when they need it.
 

VISITOR MANAGEMENT

Professional visitor management system that manages the visitor check-in and makes it easy to print personal visitor badges. The system also increases the security level and the reception staff always knows who is present in the organization.
The employees can assign visitors for their meetings so the reception staff knows who are expected to visit. Visitors can sign in from an info kiosk and the system can automatically send a text message or an email to the host when the visitor has signed in.

DIGITAL ROOM SIGNAGE

Interactive meeting room screens mounted outside the meeting rooms can display information about current and future meetings. The meeting rooms can be booked directly from the screens and it is also possible to prolong and end a meeting from the screens. The software supports all internet browsers and screens and the layout can be customized according to the individual customer's needs.
 

DIGITAL SIGNAGE AND WAYFINDING

Digital signage in the reception area increases the service level towards visitors and employees.
One or more monitors in e.g. the reception area can display information about meetings for the day and guide visitors in the right direction. It is possible only to display selected meetings on the monitors, for instance only meetings with visitors or meetings on a specific floor or section.

CENTRAL MEETING ADMINISTRATION

A department or selected personnel can administer meetings and other resource bookings and move and/or cancel the employees' room and resource bookings. The functionality can be limited to for instance selected meeting rooms. The employees can send an enquiry for e.g. a random or a specific room to the meeting administration, whom then can accept the enquiry or assign another meeting room to the employee.
 

INVOICING AND EXPORT OF DATA

Automatic transfer of the service units' costs regarding meetings and orders. The service unit or a financial responsible can perform the automatic transfer to the ERP application by the click of button.
To ensure a correct transfer the system is set up for the individual organization with the necessary allocations and dimensions.
